Once saved, Excel VBA scripts are triggered to either reconcile the statements with our clients’ records or generate reports based on the data. Instead of manually sorting through emails and downloading these files, we have set up a flow in Power Automate that detects incoming emails from vendors, extracts the Excel attachment, and automatically saves it to a designated directory on our server. This eliminates the repetitive and error-prone task of downloading and organizing files, giving us more time to focus on analyzing the data.
Once the Excel files are stored in the correct directory, our process doesn’t stop there. We have developed Excel VBA scripts that automatically activate whenever a new worksheet is saved. These scripts are designed to read the contents of the Excel files and determine the type of document they contain, whether it’s a vendor statement or an invoice. From there, our VBA scripts proceed with either reconciling the vendor statements against our clients’ records or reporting the relevant data. This automated reconciliation helps us quickly identify discrepancies between vendor records and our clients' ledgers, ensuring accuracy and catching issues early.
